| | Your monthly CondoSites fee covers the design, building and hosting of your Website, one-on-one content management training, unlimited telephone and e-mail support, and all the services and features listed below, along with any future site enhancements that we develop. There is no set-up fee.
Once your pre-launch Website is activated, CondoSites will bill you forward, 30 days in advance, in quarterly increments: i.e., 30 days in advance of Jan-Feb-Mar, or Apr-May-Jun, etc. If your billing cycle begins within a quarterly cycle, we’ll offer you the option of paying your first and second quarter fee at the same time: e.g., Aug-Sep plus Oct-Nov-Dec. Fees are due within 25 days of billing.
We guarantee your satisfaction. If during your post-launch first 30 days with us you are unhappy for any reason, we will cheerfully refund your money. If at any point thereafter you choose not to stay with us, we will refund the unused portion of any payment you may have made. |

| | Domain Registration & Renewal [ more ]
In order for CondoSites to build and host your new Website, you’ll need to have a domain name for your association.
Don’t yet have one? We’ll gladly help you get one. While we’re on the phone with you, we’ll logon to our preferred registrar and search for the name you want. If it isn’t available, we’ll brainstorm and search alternative names with you until we find an available one you like.
Registration options. CondoSites can purchase your domain name for you and include the registration cost and, later, renewals within your monthly hosting and service fee. This way, your contact information is never visible to spammers or marketing companies and you don't have to worry about renewal and administrative tasks. Should you ever cancel with us, we’ll either collect a reimbursement fee from you if you wish to keep the domain name; or, if you don’t, we’ll retain the domain.
Have a domain name already? You can either retain control of it through your existing domain name provider and continue to pay for it yourself; or you can transfer control of it to us with our written assurance that we’ll transfer the domain name back to you, subject to ICANN rules and restrictions, whenever you want at cost (if there are transfer fees).
Additional domain names. If you’d like to own other domain names—for example, the same domain name with a different extension (e.g., .net, .org), CondoSites can register and maintain those for you, as well, and point them to your Website if you wish, at cost plus a $10 per domain setup fee. |

If you have an existing Website, CondoSites will gladly assist you with moving its content (your text, photos, documents, databases, etc.) to the new site at no additional charge.
If your community is new or nearing completion, and your developer still has a sales Website online, please let us know. We may be able to extract a wealth of useful content—photos, maps, floor plans, and so forth—for your new site. |

CondoSites will customize the home page of your new Website to give it the unique look and feel of your community. Just send us your logo and a small selection of photos. We’ll incorporate them into a “skin” which will be used throughout the site, as well as on your home page.

CondoSites localizes the content of your Website to reflect your geographic location (American vs. Canadian spelling, Fahrenheit vs. Celsius), your type of association (HOA, CA, Co-op, etc.), and the rules governing your community (CC&Rs vs. ByLaws and Amendments).
We also help you bring your Website content into compliance with any special US state or Canadian provincial requirements. It’s up to you to be aware of them, of course; but we’re familiar with many of them. |

If you need a form designed from scratch, we can help you with that, too. Just let us know the purpose of the form and the fields you want it to include (e.g., name, address, telephone, e-mail, text box). We’ll create a draft for your review and, once you approve it, we’ll activate it on your site.
Want to offer users even greater convenience? If you’re using the unique login method to access your Website, the e-mail forms will be auto-populated with the personal information of the registered user. This way, members never have to type in any information that can be drawn from their personal profile (e.g., name, address, e-mail). |

CondoSites is continuously adding new features and functionalities to our community Websites, and we update you of any that apply to your community.
If a new feature or functionality is an upgrade to one you already have (such as the latest version of WalkScore), we’ll load it onto your site, activate it immediately, and let you know that it’s there.
If the feature is entirely new, we’ll load it onto your Website and notify you of its availability. If you feel it’s a good fit for your community, you can then activate it yourself. If it isn’t, as was the case for a few no-pets-allowed communities when we first introduced the Pet Center, do nothing. The feature will be there if you ever change your mind; but it won’t appear on your site's navigation column until and unless you activate it. |

There’s no charge for having us scan and upload your Bylaws, CC&Rs, and last six months’ worth of archived documents (such as newsletters and meeting minutes). Just mail them to us. If you want the hard copy back, just let us know and we will ship them back via FedEx at cost.
If any document exceeds our digital limit of 3.5 megabytes each, we’ll compress it down and/or confer with you on the best way to divide it into subdocuments.
For other documents, we charge a nominal fee for scanning, conversion to PDF, and uploading: just $5 per document, plus return shipping.

CondoSites enables Website administrators (community liaisons) to upload, edit, change, or delete virtually all of the community's website content through a series of control panels. Certain groups, such as board members, committees, or property staff members, can be granted limited or complete access to some of the control panels, as well.
With limited access, an authorized user can add or upload content within a particular control panel. This option works well when, for example, a board member uploads a document that needs to be approved or edited by the rest of the board before it can “go live.”
With full access, an authorized group can publish, as well as upload, edit or change content, within any of the control panels they’ve been granted permission to use. Many communities use this option to give concierge staff full access to the Package Log & Notification control panel, as well as to other control panels that are related to their job duties. |

Your Website administrator can control the types of content members can view by associating a role (homeowner, renter, or realtor) with their login profile.

CondoSites is committed to making our Websites as user-friendly as possible. For this reason, we add an extra benefit to viewer permission control: the convenience of prioritized content display.
When realtors login to one of our community Websites, for example, among the first things they see at the top of the content navigation column are links to recent meeting minutes, newsletters, and a section dedicated to floor plans. Why? These are the items realtors most frequently view.
When homeowners login to one of our sites, floor plans would not be displayed as prominently. In our experience, residents very seldom have any reason to view them.
We apply the same logic to the content navigation column for each user group, always placing the more frequently viewed items at the top, the least viewed items at the bottom, or not at all. |

Google Analytics is a service that generates detailed statistics about the visitors to a Website. With this feature, you can see how often your association site is being logged into, how many unique visitors are logging on from what city, how frequently each page is being viewed, how long visitors stay on a particular page or on the site, and more.

Your Website can generate revenue for your association by charging local service providers, stores, restaurants and other commercial entities a monthly fee for listing on your business directory.
If you expand the directory to include classified ads, you can charge residents a modest fee for their listings, as well.
Note: CondoSites will fully support the uploading of text and graphics, such as logos or coupons, to your business directory. To preserve the community feel of the Website, however, we do not permit the posting of banner ads or pay-per-click ads outside of the business directory.

Prior to your launch, CondoSites will confer with you to determine which commonly-used local links you would like to include on your Website. These usually include links to your local utility companies, newspaper, Internet and cable TV provider, government agencies, and so on.
Once you provide us with your list, we’ll obtain as many appropriate logos as possible and place them next to the corresponding listing. We’ll also test the hyperlinks to ensure they all work properly. |

If you opt to use the unique login method of accessing the Website, you’ll be collecting personal contact data (name, address, phone, e-mail, etc.) for each member who registers for a password.
This information enables you to take full advantage of the Website’s features and functions. For example:
- By assigning each Website user to a particular group (owner, renter, realtor), the administrator can control which modules and folders they can view upon login.
- By having each Website user’s personal information in the database, the administrator can ensure that any form they use (for maintenance requests, violation reports, facility rental requests, etc.) will automatically fill in their personal information as needed.
Rest assured, CondoSites only collects the most basic of user information to assist you and the user in receiving service from the site. |

CondoSites’ unique two-page layout is designed to keep your Website content private and secure. The Home page, where most associations post basic, non-secure information about their community, is the only area accessible to the public. From there, members must login to gain access to the rest of the site.
Website administrators can assign login usernames and passwords using one of two methods:
- With the single login method, a single username and password can be issued to all users; or a username and password can be established for and issued to each user group: i.e., one set for homeowners, one for renters, one for realtors, and so on. It’s simple—there’s no registration required—but it’s limiting.
- With the unique login method, users must register to get a personal username and password. As they do, their basic personal information is stored on the Website’s database, which then gives them access to the Website’s database-connected functions and features.

| | Forgotten Password Recovery [ more ]
CondoSites makes it easy for registered members to recover their forgotten username or password. They simply click on a link below the login fields on the Home page, enter their login email address, and click submit. The information is automatically sent to them by e-mail.
Additionally, the administrator can help users with forgotten or obsolete login email addresses, and can always reset passwords manually and contact users with the new information. |

Your association’s board and committee members can share confidential documents, help create a vendor directory, schedule events, add and edit the Newsboard, and more.
Additionally, by having us install Google Groups on your Website, board and committee members can create any number of private message boards. They’re ideal for conducting online discussions or documenting association matters without the need for live, in-person meetings – perfect for your off-site board members. |

Prominently positioned on your Website’s content page, the Newsboard displays announcements, news briefs, and other timely information of interest to members.
Authorized groups can upload items and schedule them to post or expire at a specified date. Postings can include links to documents, photos, e-mail addresses, and other Websites; and both the postings and their associated documents can be archived in unlimited numbers for future reference. |

The navigation column of your Website is comprised of information modules, folders, documents and photos which are managed by the administrator/liaison through control panels.
- A module displays information through a pre-designed layout such as a photo gallery, map or directory.
- A folder opens to a choice of two or more related content items.
- Modules and folders are listed within eight sections:

The administrator can link to all of the control panels; other authorized groups are restricted to the control panels for which they have been granted access. The concierge section of your navigation column includes a business directory. The administrator and other authorized groups can use it to post contact information for local vendors, service providers, restaurants, entertainment venues, sports facilities, government agencies, and more.
Some associations allow members to post their personal services (e.g., baby sitting, pet walking, tutoring, etc.), as well as classified ads, either for free or for a modest monthly fee.
Note: CondoSites will fully support the uploading of text and graphics such as logos or coupons, as well as photos and videos, to the business directory. To preserve the community feel of the Website, however, we do not permit the posting of banner ads or pay-per-click ads. |

Through the Calendar of Events module, you can provide visitors with information about upcoming meetings, community events, town events, and other scheduled events such as property repainting projects or road repairs.
You can attach supplemental documents for any given event, such as an agenda for a particular meeting, as well as links for e-mail addresses, photos, videos and Websites. You can also provide an e-mail link so users can send an event-related message to the administrator or other assigned key contact.
Events that include dates and times will display “Add to Calendar” buttons so users can download them to their Google, Outlook, iCal, Yahoo! or other calendar. |

Members can use this e-mail form to request the use of a common area, such as a clubhouse, pool, lawn, conference room or theater room.
